Salary: $106,142.00 - $125,241.00 base per annum

What we are looking for:
A vacancy exists in the Executive Office Team for a highly motivated Executive Assistant with appropriate knowledge and skills to join our friendly and supportive team. About the position:
The Executive Assistant is the primary point of contact for the Chief Operating Officer’s office (COO) and will be required to ensure the overall efficient and effective operation of the COO’S Office, with a further requirement to assist the Manager of Executive Services and office of the Chief Executive Officer on an Ad Hoc basis.
The Executive Assistant will provide effective, efficient and confidential support to the Chief Operating Officer and Executive Office team to ensure staffing levels are optimal, liaising with a variety of internal and external stakeholders. The role will contribute to the successful operations in the executive suite.
Applicant will be required to obtain a Corrective Service Clearance NSW to be able to take up this role.

Selection Criteria:
1. Personal integrity and demonstrated commitment to the Philosophy, Mission and Values of Mary Aikenhead Ministries and St Vincent’s Health Australia.
2. Demonstrated experience in supporting senior level executives, and the capacity to develop and maintain good working relationships with representatives from all levels of the organisation, as well as other key partners, both internal and external, including the Board and Ministry of Health.
3. Demonstrated organisational, time-management, problem solving and analytical skills, including the ability to manage conflicting priorities and exercise independent judgement and initiative.
4. Demonstrated high level written and verbal communication skills, with the ability to consult, influence and negotiate effectively with a wide range of internal and external stakeholders in a variety of formats and situations.
5. Demonstrated experience in Executive and Board administration, with ability to prepare high-level agendas and minutes within strict periods in a high-volume work environment.
6. Commitment to maintaining high standards of professional conduct, including representing the Office of the Chief Operating Officer and demonstrated capacity to exercise discretion in handling confidential and sensitive information.
7. Demonstrated advanced skills in office software including the Microsoft Office suite of programs, records management systems such as Content Manager, or other information software.
8. Willingness and availability to adapt work time, schedule and location according to the needs of the Chief Operating officer and office of the Chief Executive Officer (as required) and Board, including reasonable requests to work outside of normal business hours, at short notice.
