EXECUTIVE ASSISTANT
Responsibilities:
- Provide comprehensive administrative tasks such as drafting emails, preparing documents, and maintaining records.
- Manage bookkeeping tasks such as invoicing, expense tracking, and financial reporting.
- Identify opportunities for process improvement and implement solutions to enhance business efficiency.
- Act as a liaison between director, project manager and other consultants to facilitate communication and project execution.
- Demonstrate initiative and resourcefulness in managing tasks and solving problems effectively.
- Handle confidential information with discretion and professionalism.
- Run errands and handle personal tasks for the Director as needed.
- Manage extensive filing system to iCloud
- Create employment advertisement and manage Seek accounts.
- Track all projects and send reminders to director and project manager.
- Obtain quotes from suppliers and contractors and consolidate and file them
- Manage calendars and send reminders
- Train future administrative team
Requirements:
- Have a passion for real estate.
- Excellent communication skills: ability to understand the tasks and ask the right questions.
- Proven experience in administrative roles, preferably in a real estate development business environment.
- Ability to work and seek solutions independently.
- Strong digital literacy with proficiency in Microsoft Office and Apple system
- Ability to work well under pressure.
- Driven and proactive mindset with a willingness to take initiative.
- Excellent communication and interpersonal skills.
- Exceptional organizational and time-management skills.
- Discretion and confidentiality are paramount.
- Flexibility to respond to deadlines and urgent tasks, including willingness to work overtime when necessary.
- Acute attention to detail
- A positive can-do attitude. Ability to pick up tasks outside of the usual range.
Hours: This is a full-time position, Monday to Friday, 9:00 am to 5:00 pm.
