Executive Assistant
Location: Perth, Australia
Responsibilities
Administrative Support
- Full secretarial function and administrative support which includes diary management
- Assist with reception handling as and when required
- Handle phone calls, emails, and correspondence on behalf of the executive
- Assist Executive in preparing the Board Packs
- Prepare and edit documents, reports, and presentations
- Maintain confidential files, records, and databases
Travel Coordination
- Arrange international and domestic itineraries, including flights, accommodations, and transport
- Manage travel expenses and reimbursements
Meeting Preparation
- Coordinate logistics for meetings, conferences, and events
- Take meeting minutes, track action items, and follow up on deadlines
Communication Liaison
- Prepare and edit correspondence, communications, presentations and other documents
- Assist with internal and client communication
Project Assistance
- Prioritise and manage multiple projects simultaneously, and follow through on issues in a timely manner
Office Management
- Manage office budget and expenses, including day-to-day facilities management (where applicable)
- Manage office operations, including office supply inventory and other admin support (where applicable)
- Annual renewal of office rent and any corporate licence, permit or certificate
- Act as liaison with building management, as appropriate
- Supervise the maintenance and alteration of office areas and equipment as well as layout, arrangement and housekeeping of office facilities
- Ad Hoc tasks (as required)
Requirements
- At least 5 years’ hands-on senior administration experience in an office environment
- Ability to work with multiple Executives
- Experience in organising Travel Logistics
- Ability to work under pressure
- Ability to prioritize tasks, meet deadlines, and handle multiple responsibilities
- Highly organised, self-motivated, with attention to detail and a positive approach
- Excellent verbal and written communication
- Competent in writing business correspondence in English
- Highly tech literate in business applications and Microsoft Office suite
- Discretion and professionalism when handling sensitive information
- Uphold high ethical standards and maintain confidentiality
- Experience working in multinational and culturally diverse environments
