About the Role:
The Finance Officer is responsible for the accurate and timely management of all functions associated with Accounts Payable and Early Years finance.
Accounts Payable
- Manage the receipt and distribution of invoices to Departments of the College for Manager approval in line with delegated authority limits.
- Timely processing of invoices and weekly payments
- Timely processing and payments of staff reimbursements
- Verify expense allocations with Cost Centre budgets
- Maintain orderly and accurate files for all payments
- Respond to Suppliers and Staff in a timely manner
- Reconciliation of Petty Cash and Cash Floats
- Coordinate requests from Departments to use EFTPOS units for events
- Reconciliation of monthly supplier statements
- Attending to Audit Requirements as needed
Early Years
- In consultation with the Head of Early Years and After school care (OSHC) Manager maintain accounts and ensure that Child Care Subsidy (CCS) is applied
- Oversee dashboard and financial debtors
- Oversee scheduled payments
- Oversee parent accounts and parent email queries regarding CCS entitlements and gap payments
- Submission, resubmission and withdrawal of CCS
- Reconcile data entry and administrative errors
- Ensuring correct fees are applied to accounts
- Ensuring accuracy of new bookings and current families bookings for each term
- Regular contact with CCS helpdesk, Xplor Support and CCS/Government changes and updates

- Excellent attention to detail and written skills when communicating with others, both internally and externally
- Ability to apply knowledge in a practical, commercial manner.
- Willingness to assist and support others as required and to be respectful of other team members
- Accomplish objectives effectively within time frame given, and carry out administrative duties within portfolio in an efficient and timely manner
Qualifications required:
- Certificate 3 or higher in Business Administration or similar relevant qualification
Desirable Criteria:
- Prior experience in Finance functions
Successful candidates will also obtain/willing to obtain:
- Satisfactory Police Check essential
- WWCC
- Responding to Abuse and Neglect certificate
