The Position
We are seeking a customer focused, team player to join our team. This position will play a key role in delivering professional, high quality customer service within the Finance section that is valued by our stakeholders.
Your work will involve facilitating the booking of domestic and international travel in accordance with the Reef Authority travel policy, using the Whole of Australian Government (WoAG) travel arrangements, undertake the reconciliation and acquittal of travel documents and related expenditure and provide advice on travel policies and procedures.
Duties
- Coordinate cost effective domestic and international travel arrangements including scheduling flights and ground transportation, booking accommodation and handling any other trip-related tasks for Reef Authority employees and relevant external stakeholders in a timely manner in accordance with Whole of Australian Government policy.
- Build strong working relationships to help understand specific internal and external stakeholder needs, and interpret and apply a variety of legislation, policies, and procedures to provide a high level of customer service within the Finance section that is valued by all stakeholders.
- Assist in the relocation process for Reef Authority employees by interpreting and applying existing operational and administrative policies to determine the appropriate course of action to meet both business and employee needs.
- Administer Airline Loyalty Program memberships and Official Passport requirements in line with the Travel Policy and Government obligations.
- Maintain accurate records on traveller profile accounts, ensure accurate travel payments are calculated and authorised in accordance with the Financial Delegations and perform accurate financial reconciliation of Diners, Cabcharge and Purchase Cards with regards to travel related expenditure within required deadlines.
- Develop monthly reports for Financial Delegates to assist in review of travel actuals against budgets, and assist in development of reports, as required, for the Authorities Executive Management Group (EMG).
- Contribute to the development, maintenance and enhancement of travel related policies, procedures, reports and manuals in accordance with legislation, policy and procedures. Develop, maintain and provide regular training sessions for Agency staff, including content for Learning Management Systems (LMS), and be willing to provide targeted training to assist in the correct utilisation of the travel system.
- Work collaboratively in a team-based environment which includes actively participating in and contributing to work undertaken across the Finance section including backup for other roles at level as required to support the business objectives.
- Build and maintain a strong working relationship with the Authority’s WoAG Travel service provider to ensure required reports are supplied in a timely manner and identify future reports that may better assist the Authority in reducing travel expenditure and fees.
As an APS employee you may be reassigned to a different set of duties at the same classification level at the discretion of the agency head (CEO), taking account of operational requirements in the agency.
Eligibility requirements and qualifications
Applicants must:
- be an Australian citizen at time of applying for position,
- be able to obtain and maintain a Baseline security clearance, failure to do so will result in termination of employment.
Desirable experience and/or qualifications
- Knowledge of corporate travel systems and processes.
- Experience in Federal Government.
- Experience if finance ERP (Enterprise Resource Planning) systems.
