Heavy Machinery Transport Pty Ltd is seeking an experienced Full time Office Assistant for our Transport company based in Ipswich.
We have three divisions:
CIVIL
HOLCIM
GRAIN
This role is to assist our Office Manager in the day to day running of our company Monday to Friday.
Must have intermediate skills in the following: (These are not negotiable)
- Microsoft Office (Excel, Word, Outlook)
- XERO accounting software experience
Duties required:
- Maintaining excel workbooks to report critical information on hand. e.g., , daily transport docket recording, breakdown of subcontractor payments, reconciliation of RCTI’s
- Respectful communication with Drivers, chasing up on dockets, documentation and recording their work hours for payroll.
- Booking medicals, performing police checks and ordering uniforms.
- Navigating Client portals to track dockets and payments.
- Providing administrative support to the Office Manager and other Company Managers as required including monthly reporting and preparation of documents, presentations, and ad-hoc duties, as required.
- Assisting with accounts receivable, payable and Payroll

- Background or knowledge of the transportation industry preferred but not essential.
- Must be dog friendly.
You will be reporting directly to the Office Manager and dealing with highly confidential and sensitive information; therefore, this role is more suited to a person with at least 5 years office experience.
