A well established and respected boutique law firm in the heart of Melbourne’s legal precinct seeks to hire a full-time Legal Receptionist and Administration Assistant.
The successful candidate will be a motivated and enthusiastic team player with a “can do” attitude.
The Role
- Front of House & Client Interaction:
- Greet all clients/visitors and manage meeting room availability;
- Manage incoming telephone calls and transfer calls to the appropriate staff member as required;
- Recording accurate and detailed telephone messages and ensuring these are passed onto the appropriate staff member in a timely manner;
- Handling general phone enquiries.
- File Management & Document preparation:
- Creating and maintaining all new file matters and client cards in Practice Evolve;
- Conducting conflict checks;
- Maintaining physical and digital filing systems;
- Draft basic legal documents and correspondence as directed;
* Experience with Practice Evolve is ideal but is not mandatory.
- Administrative Support:
- Undertake general administration duties including data entry photocopying, scanning and other clerical duties as required.
- Office Organisation:
- Organise and maintain office equipment as required;
- Order and maintain stationary supplies;
- Ensure office is kept tidy and clean;
- Office based in Melbourne CBD | Hours: 9am to 5pm Monday to Friday.
SKILLS & QUALITIES REQUIRED:
- Excellent verbal and written communication skills;
- Ability to liaise with clients;
- Excellent organisational and time management skills;
- Ability to prioritise and work under pressure;
- Previous experience in a client-facing, receptionist or administration role;
- Ability to work autonomously when required;
- Accurate typing skills proficient in Microsoft Word and Outlook;
- Accurate spelling and grammar with impeccable attention to detail.
