Are you a skilled Legal Secretary looking for a dynamic role in Migration Services? Our client based in Melbourne is seeking a talented individual to join our team as a Legal Secretary.
Role Overview:
As a Legal Secretary you'll be an integral part to the team team, providing essential administrative support to the Principals and senior staff. From managing diaries to coordinating travel arrangements, you'll play a key role in ensuring the smooth operation of the Migration Services team.
Duties and Responsibilities:
- Diary management for Principals and senior staff
- Handling telephone calls, enquiries, and requests
- Email management and drafting correspondence
- Assisting with meeting preparation and follow-up
- Managing mail and coordinating travel arrangements
- Providing marketing support and maintaining client lists
- Inputting timesheets and managing expense claims
- Maintaining office systems and preparing conflict checks
- Reporting on various metrics as required
- Arranging meetings and greeting clients
- Providing financial administrative support, including billing
- Organising internal and client events
- Undertaking project work and general administration duties
- Minimum of 3 years word processing experience (75 wpm+)
- Previous experience in a Legal/Professional Services environment
- Sound understanding of corporate immigration and visa categories
- Strong decision-making and autonomy skills
- Professionalism and confidentiality
- Excellent client service ethic
- Effective prioritisation and problem-solving abilities
- Adaptability to changing workloads and deadlines
- Clear and concise communication skills
- Ability to establish rapport with colleagues and contacts
- Minimum of 3 years Administration/Paralegal/Legal Secretary/PA or EA experience in a professional services environment
- Advanced knowledge of Microsoft Office suite
- Advanced knowledge of Leap Migration Manager (ideal)
