Your dream opportunity: 

To keep up with our rapidly expanding team, we are on the hunt for a positive and diligent Office Administrator. This is a crucial role in the maintenance and day-to-day operation of our offices and showrooms, both in Melbourne and nationally (and soon to be internationally!). The varied responsibilities and priorities of this role suit someone who is keen to tackle challenges that come their way with enthusiasm and initiative. This is a full time permanent role, working standard Monday to Friday office hours, and reports to our Project Manager, who oversees the development of our new showrooms and the maintenance of our existing ones.

Key responsibilities of this role:

  • Insurance renewals and changes;
  • Managing the accounts payable inbox and reviewing all invoices before ensuring payment;
  • Managing the maintenance inbox and tasks, and escalating tasks to the Project Manager where necessary;
  • Act as key contact with our cleaning company, and managing stocks of office cleaning supplies;
  • Managing utility account such as internet, electricity and gas;
  • Managing accounts with suppliers of online ordering;
  • Managing and ensuring the resolution of urgent issues, such as internet outages, roof leaks, air conditioner problems etc.;
  • Management of ongoing maintenance schedules - Annual painting, carpet cleaning etc. to ensure facilities are always at a high standard;
  • Help with planning or running of team events, meetings, trainings etc
  • Managing the purchase of staff amenities;
  • Monitor the organisation and cleanliness of meeting rooms and areas;
  • Managing office supplies inventory and ordering (stationary requirements, office equipment/furniture, staff kitchen supplies, and cleaning supplies); and
  • Assisting the Project Manager, Human Resources or any other relevant departments with ad hoc tasks.

The sort of person we’re after:

  • At least 3+ years in a similar or equivalent role;
  • Can take instructions, accept responsibility for tasks, and ask for help or guidance where needed;
  • Experience dealing with insurance, invoicing and other basic financial documents;
  • Confidence to work independently on a majority of tasks after training
  • Attention to detail in all tasks;
  • Ability to take initiative and act proactively and decisively;
  • Strong organisational skills and manage changing priorities;
  • A positive, friendly and optimistic attitude;
  • Find creative solutions to problems or challenges;
  • General computer knowledge and technologically savvy; and
  • Strong written and verbal communication skills.
