The Motion Business is currently seeking an energetic and organized Office Administrator to support with a variety of office activities and assist senior level management with systematic admin tasks. Reporting to the Motion Operations Manager and located in Notting Hill, you will be instrumental in the smooth running of processes and procedures across the business. There’s no typical day for an office administrator – you could be working on overseas travel arrangements, supporting the facilities manager with organizing safety training, or preparing expense reports on any given day. This role is perfect for someone who thrives when working independently, is a proactive learner, resourceful, and a people-person always ready to assist to ensure a strong support system for business managers in the workplace.
Your responsibilities
Performing administrative activities such as scheduling meetings, organizing catering for special occasions, and monitoring office supplies
Directly supporting the Motion Business Area Manager, including with travel arrangements, meeting request, processing expenses, procurement and payment of invoices. Maintains confidentiality of sensitive information
Compiling power point presentations for team meetings and updating, publishing organization charts, policies, and controlled documents
Utilizing the available tools and systems, to improve communication flow and ensure important information is distributed and available to all team members
Responsible for quality KPI reporting and participating in internal and external auditing, to ensure compliance and continuous process improvement
Arranging internal/external events, including for example travel arrangements, itineraries, accommodation, car transport, conference registration, visiting speakers etc.
Scheduling and coordinating weekly and monthly team meetings and track attendance and communicate and follow up actions and minutes
Your background
Degree with previous experience in Office Administrative role supporting C-Suite executives
Proficiency in Microsoft Office
Ability to proactively prioritize and multitask, with excellent planning skills
A collaborative, solution-focused approach with strong written and spoken communication skills
Experience with Concur and SAP Ariba would be advantageous
