We are a local Brendale based, specialty coffee roasting company roasting multiple coffee brands and coffee blends.
We aim to provide coffee lovers with an exceptional and informed coffee experience.
The successful candidate must love coffee and must be an experienced Office Manager.
Job Summary:
To provide financial and administrative services to ensure efficient, timely processing of customer orders, sales team support and collections from customers of payment amounts due within customer terms. Assist State manager and Finance Manager with reporting as necessary.
Key Responsibilities include but not limited to:
Responsibilities
- Monitoring customer accounts and following up for non-payments, delayed payments, and other irregularities.
- Ensure that the “Brand name” is always held with highest regard.
- Accurately maintain and build client base.
- Conduct invoicing, collection, and reporting activities according to specific deadlines.
- Ensure all the expenses are documented and research, resolve payment discrepancies.
- Assist with the AR weekly collection forecast.
- Ensure all the projects are completed.
- Sales administration support – supporting sales team with contract compliance.
- Other duties are requested by the state manager or finance manager.
- Calling wholesale customers for daily run sheets and generating packing slips and invoices from the accounting system.
- Asset management - maintaining QLD state equipment and asset registers and liaising with Head Office.
- Attend weekly debtors meetings with the Sydney Finance team.
- Process payments using a combination of cash, cheques, EFTPOS Payments
- Ensure outstanding invoices are escalated / paid
- Customer account reconciliations
- Prepare banking collections
- First point of contact / face of the business for the Schibello Coffee Group QLD business
• Responsible for Service Delivery i.e. direction / triage of enquires from both a staffing and customer point of view
Skills & Experience:
- At least 2+ years’ experience as a Office Manager.
- Strong computer skills, especially with Microsoft Office products.
- Amazing verbal & written communication skills with both internal and external stakeholders
- A love for coffee
- Excellent problem-solving and decision-making skills
- Strong analytical and numerical skills to identify trends within the business
