As an Office Team Assistant at Eku Energy, you will play a crucial role in supporting the smooth operation of the office and providing administrative assistance to various departments. ResponsibilitiesYour role will comprise the following key responsibilities for our APAC region development activities:
- Provide comprehensive administrative and secretarial support to the team.
- Manage calendars for senior executives, accommodating multiple time zones, and handle leave management.
- Arrange and coordinate travel bookings and expenses for senior executives.
- Assist in the execution of documents as required by the team.
- Handle mailing and shipping of packages and documents and maintain updated contract databases and employee lists.
- Ensure a welcoming and personal experience for office visitors, both internal and external.
- Support HR and the Office Manager in onboarding and offboarding processes for new starters and leavers.
- Collaborate with the Office Manager to assist team members across various internal teams, actively contributing to the success of the business.
- Organize team conferences and events.
- Maintain common areas of the office and monitor office supplies and consumables.
- Coordinate catering for meetings when necessary.
- Provide basic IT troubleshooting for the team, liaising with our IT provider.
- Take minutes at meetings as required.
- Attend all staff meetings as appropriate.
- Prepare reports and presentations for internal communications.
- Offer ad hoc administrative support across the team as needed.
Requirements
- Proven experience in an administrative or office support role
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- Proactive and self-motivated with a positive and professional attitude
- Ability to handle multiple tasks and work in a fast-paced environment
- Minimum 3 days in the office to support the business executives
