Scope of Role
As Operations Manager, you will play a leading role in the Senior Leadership Team, operating as a senior strategic partner to our Founder / Managing Director and play a pivotal role in driving the growth and success of the organisation by overseeing and optimising commercial activities.
This key leadership role requires a strategic thinker with a proven track record in commercial operations, operational leadership, risk management, cross functional collaboration and is happy to get your hands dirty in the daily operations of our fast paced agency.
You will have a systematic approach to your work, processes and problem solving.
You will need to be highly proficient in developing systems and processes that scale with business growth, plus experience in record keeping, writing reports, administrative activities, and task-oriented disciplines.
Key Deliverables
For you to be successful as our Operations Manager, you will be required to focus on 4 key areas of competency:
1. Systems & Processes
Design, build and manage processes within the Agency
- Collaborate with the Managing Director & Executive Team to develop and implement operational strategies aligned with organisational goals.
- Evaluate existing processes and identify opportunities for improvement, efficiency.
- Coordinate and align efforts across departments to maximise organisational efficiency.
- Oversee and coordinate special projects and initiatives as assigned by the MD.
- Develop zero-to-one project plans, set timelines, and track milestones to ensure successful completion.
- Collaborate with cross-functional roles (Marketing/ Sales/ Tech & Business Support) to achieve project objectives
- Board reporting; Financial performance/ Strategic initiatives/ Operations/ Risk management./ KPI’s and Commercial activity
- Solve difficult problems and challenges
Management of Staff & Operational Systems
- Collaborate with the MD on new commercial initiatives eg staff requirements, new markets entry, new revenue stream
- Ensure the reporting of competitive, consumer and market data delivering key business insights
- Utilise data analytics to assess performance, identify trends, and make informed business decisions.
- Present detailed communications plans to Senior Leadership Team
Measurements
- Systemisation of Core Agency Functions (Marketing/Sales/Operations/Finance) by December 2024.
- Staff Utilisation Rate between 90-100%
2. Commercial
Finance
- Monitor and report on agency contractual KPI’s
- Understand the drivers of key commercial arrangements with clients, Murmur, and third parties.
- Provide budgeted forecasts for platforms and channel spending for campaigns.
- Provide reports on Staff & Client efficiency
Measures
- Delivery on the teams financial and campaign targets
3. People Leadership / Management
Effective management & leadership of Operations
- Ensure all staff have a Personal Development Plan.
- Conduct bi-annual performance reviews, and frequent development discussions using a coaching approach and methodology.
- Be responsible for assessing the training needs of staff and ensure attendance at all relevant training sessions.
- Maximise team productivity by clear delegation to staff of all tasks
Measures
- Completion of Personal Development plans of all staff.
- Conduct daily ‘on the job’ coaching and upskilling of staff where necessary and appropriate.
- Develop staff to a level to be promoted.
- Provide 360 feedback to help and aid in development and performance.
4. Personal Growth
Invest 10% of time to personal development
- Use 1 x week of additional Paid Leave from the Agency, to grow and develop in a non-work activity.
