About the role
Due to continued growth Eptec has an opportunity for a Project Administrator to join our Defence Solutions team based in Henderson WA. The successful candidate will be responsible for the provision of a range of services, providing high quality, timely and professional project administrative and customer service support to our operations teams and customers, through the delivery of standardized, accurate and consistent business processes, with a key focus on continuous improvement.
Key Duties and Responsibilities include:
- Working with an experienced and dynamic operations team, providing a range of key administration support services to assist in achieving project requirements.
- Supporting Project Managers with documentation, project reporting, including timesheets, and project registers.
- Working with Project Managers on the preparation of subcontract agreements and supporting in the communications, ensuring records are maintained.
- Supporting Project Manager in administering job cost analysis, forecasting, billings and invoicing.
- In conjunction with Project team obtain necessary quotes from suppliers to ensure best value.
- Maintaining up-to-date documentation for all key stakeholders and ensuring all documentation is correct for handover.
- Coordinating regular meetings and being a first point of contact for enquiries, providing accurate support and advice, via telephone and written communication.
- Create and process purchase orders, check and process supplier invoices for goods received, and follow up and resolve any discrepancies.
- Prepare project reports and other general office administrative tasks as required.
- Maintaining site personnel records and files
Skills and Experience:
- Minimum 3-5 year’s project/contract administration experience working on medium/large size project within remediation, construction or civil infrastructure projects.
- Relevant qualification in Engineering or Business-related administration. Excellent skills in written and verbal communication.
- Experience in the administration / management of financial records such as expenses, invoices, and purchase requisitions.
- Experience with project financial systems
- Intermediate/advanced level in the MS Office suite of products (Word, Excel, Outlook, PowerPoint).
- Strong problem solving and analytical skills.
- Ability to work within a team, build relationships, with exceptional customer service skills.
