Project and Event Coordinator
Advertising Council Australia is looking for a Project and Event Coordinator to help with the coordination of the AWARD Awards Call for Entries, judging, and ceremony as well as the AWARD Creative Festival (This Way Up) held annually each year. The role will also provide support for the Effie Awards program.
AWARD - The Australasian Writers and Art Directors Association - now in its 45th year is the single most important regional creative awards show for the advertising industry.
We are looking for someone who has experience working in events - specifically working on industry awards programs and festivals, as well as experience with project coordination. The position requires someone who is tech-savvy, has excellent attention to detail, and is very calm under pressure.
AWARD receives roughly 1,500 entries, so the right person needs to be very detail-orientated, willing to undertake manual processing and take pride in making sure everything is done perfectly to ensure the smooth running of the program.
The position will also coordinate key components for the AWARD Creative Festival which will feature a series of talks, forums, and functions held at the Museum of Contemporary Art across 3 days and nights in Sydney.
Your role will be to work with the Senior Event Manager on the following:
AWARD Awards:
Processing of entries through our award software database Award Force - which includes managing and checking all materials submitted to make sure they are correct.
Proofing and double-checking all event-related materials including judging information/ trophy lists/ show material/ credits/ programs etc.
Setting up and coordination of judging panels. A key role will be recording results and running judging presentations of entry content. Public speaking is required in order to brief the speakers, juries and the chairs.
General admin assistance including the collation of judging materials/ catering coordination/ couriers etc.
AWARD Creative Festival:
Coordination of venues and ticketing.
Liaising with speakers and developing briefs, runsheets, schedules, and itineraries.
Assisting with marketing and comms.
Coordination of contract/temp staff if required.
Required skills and experience:
Minimum 2 years experience working in an event/project coordination/marketing role, with a strong background in marketing/advertising fields.
Must have experience working on industry award shows and working on a large-scale industry event/festival.
Must have experience processing entries or applications in a similar setting, as well as coordinating judging/adjudication processes.
High-level experience using Microsoft Office - Excel, Word etc. as well as experience in using Google platforms (Google Drive / Google Sheets / Google Docs etc.).
Knowledge and familiarity using online databases and platforms.
Proficiency in the use of audiovisual equipment in an event environment.
Ability to remain calm under pressure and maintain a positive can-do attitude.
Ability to take initiative and problem-solve.
High-level communication skills (both written and verbal) and high-level attention to detail.
Ability to juggle multiple tasks and work to deadlines.
Willingness to work outside of normal business hours (the role may include some weekend work as well as overtime during the judging and festival period).
Adept in public speaking with presentation skills.
Desired experience (preferred but not essential):
Experience using the awards software program Award Force.
Experience using Arlo CRM software/system.
Experience working with and providing direction to temp/casual staff.
Degree in advertising/marketing/communications-related field.
This position is a full-time/ongoing permanent role.
The contract will commence as soon as possible.
