Role

The primary function of the Receptionist is to be the first point of contact for visitors to the college, and to support the financial sector and student administration using a team approach. The incumbent must have a sound working knowledge of CASES21, Compass and DET applications. This position requires the highest levels of interpersonal skills using respect, compassion, understanding and empathy, and must maintain confidentiality in line with the Privacy Laws and associated legislation. The officer must have an ability to determine the required assistance to be provided to all visitors, families, students, DET personnel and other stakeholders.

Areas of responsibility for the position include:
Reception

Assist visitors to the school, families, students and staff
Answer and redirect phone calls to the appropriate staff member or take messages and notify the staff member via email if unavailable
Listen to answering machine messages and email appropriate staff member
Redirect emails from the school email account to the appropriate staff member
Receipt payments including determining the payment method (cash, EFTPOS or CSEF), reconciling cash or processing EFTPOS transaction, processing the receipt in CASES21, and providing a receipt to family/student
Accept deliveries and notify relevant staff member
Organise and maintain signage and presentation of foyer

Administration

Sort out mail including franking envelopes as required, recording outgoing mail, and distribution of incoming mail
Complete orders and maintain levels of stationery, paper and other items
Upkeep of storeroom
Prepare school newsletter/parent bulletin
Assist Business Managers with tasks as requested
Assist with processing excursions and camps
Support the Finance Officer and Student Administration Officer as required
Support the Attendance Officer with recording student attendance as required

Other duties as directed by the Principal or their delegate.

Responsibilities
Provide routine clerical or other administrative support responsibilities including general telephone, front office enquiries, mail deliveries, assisting with stock control, supporting organisation of meetings, receiving and initial processing of standard paperwork
Maintain, enter and retrieve data from the schools IT systems, such as the school's records system, including computerised student, staff and school records
Maintain and update office records, enrolment data, diary records, and basic written records
Support or coordinate the preparation of standard routine internal and external communication according to school procedures (e.g. form letters, newsletters)
Source basic data or factual information from given sources to support school administrative functions, e.g. books, reports, manuals, catalogues, tables, forms, etc.
Assist with the delivery of administrative services within the school
Develop and implement strategies to ensure effective administration procedures
Coordinate the implementation of requisitioning, purchasing and issuing procedures
Manage client reception and office operations
Liaise with school staff in regard to support requirements
Supports the first aid facilities and assists in delivering first aid to students

Location Profile

Wyndham Central College is located in a high growth corridor, approximately 20 minutes west of Melbourne and caters for students in Years 7 to 12 across the Wyndham district. In 2023 Wyndham Central College will be in the second year of a new strategic plan. Recent data sets in key areas have demonstrated significant improvement in line with the goals and targets identified in the previous Strategic Plan and reflect the dedication and commitment by the staff.

The Staff at Wyndham Central are committed to delivering a rigorous guaranteed and viable curriculum enhanced by the AVID program that aims to prepare students by developing a set of strategies to support their learning and chosen pathway. The college programs are innovative and challenging and include a 7-10 Enrichment and VHAP program, 7-10 Spanish Immersion Program (SIP), the 9-10 STEM Academy and our flagship schoolwide program AVID.
