Inland Rail

Inland Rail is a once-in-a-generation project that will complete the backbone of Australia's freight rail network. It will enhance supply chains by providing a transit time of 24 hours or less for freight trains between Melbourne and Brisbane. Inland Rail will connect regional Victoria, New South Wales, and Queensland to markets more efficiently, drive substantial cost savings for producers and consumers, and deliver significant economic benefits. Inland Rail is the largest freight rail infrastructure project in Australia and one of the most significant infrastructure projects in the world.

About the opportunity

We are looking for a part-time receptionist to work Thursday and Fridays only every week. As the receptionist you will provide administrative and clerical support in a timely, accurate and confidential manner to all employees and managers at the Inland Rail office in Brisbane as required. You will support the professional and efficient management of front of house operations for the office, such as welcoming external guests and managing telephone calls and communications as required.

Key responsibilities will include but are not limited to:

  • Respond to incoming telephone calls and direct each call to the appropriate Inland Rail representative in a timely, professional manner to ensure a high level of customer service.
  • Register, distribute and/or redirect all incoming correspondence and deliveries and sort, collate and register all outgoing correspondence each day and arrange for outgoing courier pick-ups to ensure mail and courier systems run smoothly.
  • Collect and take mail from/to the Post Office on a daily basis.
  • Coordinate the use of meeting rooms and resources to enable meetings to occur as required, including providing necessary refreshments and transferring used items to the kitchen facility.
  • Monitor and maintain office supplies to ensure they are adequately stocked.
  • Process related invoices for payment in the Company financial accounting system, ensuring timeliness and accuracy.
  • Work collaboratively with other administrative employees across the business and in the Facilities team as required sharing common administrative tasks and ensuring their timely completion.
  • Coordinate or carry out additional tasks to support business operations as required.
  • Always operate in a safe and healthy working manner, including being prepared to stop any unsafe activities performed by the Company representatives.

About you

To ensure success in this position, applicants will be able to demonstrate:

  • Previous experience operating a busy computerised telephone system.
  • Proficient knowledge and experience with Microsoft Office applications.
  • Experience in providing high-level customer service to internal and external customers.
  • Ability to prioritise and manage multiple tasks simultaneously.
  • Written and verbal communication skills.
  • Ability to learn new IT systems and processes.
  • Knowledge of or an awareness of Work, Health and Safety principles and relevant rail safety legislation.
  • Ability to use judgement and discretion in the dissemination of information.
