About the Position
Our Perth office is seeking to recruit a Receptionist. This is a permanent fulltime position. Within this role you will be the first point of call for clients of the Firm and be required to provide support to both our Solicitors and Administration Staff.
Our Desired Candidate
You will have the ability to work harmoniously in a busy team with great attention to detail along with good communication skills and a pleasant and professional phone manner. Experience within the Legal Sector would be advantageous.
Key Job Responsibilities
Your day to day duties will involve:
- Answering incoming telephone calls and managing reception;
- Attending to and booking initial consultations and appointments;
- Setting up video and teleconferences;
- Diary Management;
- File and database management;
- Greeting and liaising with new clients;
- Opening and maintaining client files in the system;
- Creating and updating client records ensuring accuracy and validity of information;
- Precedent management;
- Undertaking Title and Company Searches;
- Preparing and updating Court Briefs;
- Recording incoming and outgoing mail;
- Processing Eftpos payments;
- Ordering and arranging couriers;
- Postal duties;
- Housekeeping duties;
- Ensuring filing is done correctly and in a timely manner;
- Completing other administrative tasks as required.
Skills and Experience
To be considered for this opportunity, you must have:
- A professional telephone manner;
- Be well presented;
- The ability to take initiative and work autonomously but also as part of a team;
- Excellent organisational skills with high attention to detail;
- Advanced skills in MS Office, specifically Outlook, Word and Excel, with experience in Filepro an added advantage;
- An ability to handle several tasks simultaneously with proven time management skills and the ability to prioritise appropriately;
- An ability to identify opportunities for improvement in processes and procedures and to focus on implementing solutions;
- Excellent verbal and written communication; and
- Permanent residency and be domiciled in Perth.
