Receptionist and Office Administrator – Job Share (2 days a week)

Please note that the other job-sharer works a consistent 3 days per week. The successful candidate in this case must be able to work on a Friday and one other day in the week. Working hours will be 8.30am to 5.30pm.

The Receptionist and Office Administrator is a key role in our Finance and Administration team. As part of a small tight-knit team of friendly and supportive professionals, the successful candidate and their Job Share counterpart will provide a positive, first impression for callers and visitors to Ultradata’s Corporate Head Office. They will convey a professional, attentive and cheerful image at all times. They will also perform a range of administration functions to support the smooth operation of the business.
Specific responsibilities:
- Initial point of contact for all visitors to Ultradata’s Head Office reception - ensuring that corporate standards and a highly professional image are maintained at all times
- Answering calls and directing them to the appropriate team member
- Administration activities including courier bookings, managing meeting rooms, and similar
- Assisting in account payable tasks
- Assisting in accounts receivable tasks, including debtor follow-ups
- Travel bookings and coordination.
The ideal candidate:
- Must have a minimum of 2 years in a similar role in a white-collar, corporate environment
- Exceptional client service, strong interpersonal skills, and ability to deal with people at all levels
- Strong bookkeeping skills will be an advantage for accounts payable and receivable functions
- Accuracy and attention to detail
- Punctuality and reliability
- Sound computer skills including Microsoft Excel, Word & Outlook
- Excellent presentation and grooming
- Ability to multi-task, prioritise and meet conflicting deadlines
- Must be willing to work from the office – this is an onsite role.
Must be vaccinated against Covid-19 (at least 2 doses)
