The Office of Cancer Research (OCR) supports laboratory and clinical research activities across Peter Mac, including approximately 250 research students, research laboratories and support areas at the Parkville site housing >500 researchers, seven platform technology facilities and a Professional Services team (encompassing corporate and research portfolios).
Your role in our future
This position will work within the Research Education team to provide ongoing support for academic and professional development activities of Cancer Research students and staff.
The role provides administrative leadership in the Research Education program, with a key focus on student candidature management for the Sir Peter MacCallum Department of Oncology (The University of Melbourne), maintenance of student records, coordinating student engagement events and digital content management. This role will also coordinate Research Education awards, outreach activities as well as provide secretarial support to various committees.
Essential Requirements:
- Appropriate university degree in a relevant discipline or an equivalent combination of education, training and experience
- At least 1 year of demonstrated experience working in a high-level administrative role in a complex environment
- Excellent time management, with capacity to exercise sound judgement, initiative and work on multiple initiatives concurrently
- Demonstrated self-motivation and flexibility in responding to changing work priorities, with the capacity to work autonomously and collaboratively as part of a team
- Excellent interpersonal, oral and written communication skills. Demonstrated cultural awareness and ability to liaise with a wide range of stakeholders at a variety of levels
- Demonstrated commitment to quality assurance and continuous improvement of processes
- Advanced level of computer skills including a good knowledge of the Microsoft Office suite as well as the capacity to learn and use administrative databases
- Excellent attention to detail and commitment to accuracy at all times
Desirable Requirements:
- Knowledge and understanding of the tertiary education sector; in particular, postgraduate research training requirements
- Knowledge of University of Melbourne Management Systems e.g. Themis, StudentOne, CiAnywhere, Thesis Examination System
- Experience advising and interacting with students and supervisors

Key Accountabilities
Graduate Research Administrator (GRA) duties for Sir Peter MacCallum Department of Oncology
- Provide general support and advice about university processes to students, supervisors and faculty.
- Act as a contact point between the department and the faculty for all student progress review requirements and completions.
- Ensure all advice is consistent, timely and based on university policies and procedures.
- Coordinate the flow of documentation between students, academics, faculty, external supervisors (outside UoM/PeterMac) related to GRA duties.
- Liaise with the academics and students to ensure any request which needs HOD approval is true, accurate and complete.
- Manage Supervisor Registration and Training for all current and incoming supervisors with the University of Melbourne – Resolving university service tickets and updating details in THEMIS. Coordinate the management of student records, e.g. maintaining files and records.
- Contribute proactively to, and assist in escalation of, complex queries with reference to existing policies, procedures and guidelines.
Student engagement
- Organize and manage student Open Day and other student recruitment events.
- Assist in the planning and delivery of student induction and orientation programs.
- Provide support in student engagement opportunities including student retreat and other relevant activities.
Education support and development
- Award coordination. Coordinate the application, selection and award processes for research-related annual awards.
- Coordinate outreach and school research experiences with the assistance of the administrator.
- Coordinate the development, implementation and maintenance of research outreach programs and activities.
Digital content management related to Research Education services
- Maintain the Research Education intranet page.
- Preparation of the annual PhD and Honours Project booklets and other promotional materials using Adobe inDesign.
- Assist in maintaining the currency of the Peter Mac website (external and internal).
- Resource development: Creating relevant guides and templates targeting students, administrators and academics.
Maintenance of Research Education management resources
- Provide secretariat support to the Research Education Committee and other education related meetings as required.
- Contribute towards identifying process improvements and developing consistent and reliable procedures that are responsive to user needs.
- Support Head of Education in improving Department policies and procedures and implementing new projects and initiatives.
Contribute to the overall provision of quality of the education team
- Foster high standards of service provision by maintaining collaborative relationships with colleagues within the team.
- Supervise any additional administrative support personnel within the Department.
- Assist other members of the Administrative Support team where appropriate including covering for staff leave as required.
- Liaise with the wider Professional Services team to ensure areas of crossover are dealt with effectively.
- Offer and ask for assistance as appropriate.
- Willingly take on a range of tasks according to the needs of the team.
