Job Description
Provide administration support to the Smiths Detection South Asia Region, primarily focusing on the Service function in Australia/New Zealand, however supporting other functions of the business as required.
Duties & Responsibilities
- Coordinate accounts payable and invoicing related requests from customers and vendors
- Record and investigate customer concerns and report the findings to the local management team
- Respond to general customer enquiries relating to Smiths Detection’s products and services
- Download customer service reports from the global service management software program (“ServiceMax”, based on the Salesforce platform) and share the reports with the local service management team and with designated customer stakeholders
- Download the weekly Work-In-Progress report from ServiceMax and seek progress-updates from applicable Service team members as required. Collate the updates and communicate them to the local management team
- Dispatch work orders in ServiceMax for preventive maintenance jobs, support the Field Service team with ServiceMax related requests
- Periodically update the on-call telephone system so that customer-calls are diverted to the designated on-call team member
- Support cycle counts and inventory auditing activities
- Carry out purchasing tasks using the enterprise resource planning system, SAP (ie. create purchase orders, create vendors, validate & process invoices)
- Coordinate the supply and checks of radiation tags
- Maintain the calibration register for tools and meters
- Other duties as required
Skills:
- At least 2-3 years experience in an administration role desirable.
- Must possess strong written & verbal English communication skills and have a strong orientation for customer focus and teamwork. Thrives in a diverse working environment with stakeholders across various countries/regions. Able to priorities conflicting demands in a fast-paced environment with a dynamic workload. Able to support a broad range of activities across the service & programs functions.
- Competency in use of all programs within MS Office Suite and aptitude for learning specialized software programs.
