About the Role:

Our client is a leader in Transportation Services and is currently seeking an Admin Assistant to be a part of their Office in West Melbourne.

This is a  temp to permanent opportunity.

The successful applicant will need to meet the following requirements:

Your responsibilities will include: 

  • Be the customers first point of contact for LAQ container unpack related enquiries,
  • Manage customer expectations by responding to emails and incoming calls, maintaining optimum service levels & customer experience.
  • Manage a shared mailbox ensuring all incoming emails are answered or directed to the correct person for response.
  • Ensuring worksheets and any related documentation are uploaded accurately and in a timely manner to the relevant job.
  • Provision of excel sheets to operations staff from the WMS of empty containers and daily tailgate list.
  • Resolve customer concerns or inform the LAQ Manager of any escalated client concerns or complaints.
  • Maintain data integrity ensure jobs are entered and updated as required.
  • Record keeping - Filing & scanning as required.
  • Assist the operations team where necessary to complete daily operational tasks and enquiries including the receiving of FCL & LCL deliveries.
  • Assist in the generation of JSA’s and monitoring of Customs related documentation.
  • Assisting with account enquiries and follow-ups where necessary.
  • Process and coordinate client orders into the warehouse management system.
  • Assistance with invoicing as required.
  • Processing and maintaining log of staff uniform orders.
  • Ordering consumables for the LAQ Warehouse and Wash bay under direction and maintain purchase log
  •  Any other administrative or operational duties as required.

About you:

  • Have experience with administrative and clerical procedures and comfortable with technology and be tech savvy
  • Intermediate knowledge of Microsoft suite – Outlook, Excel and Word 
  • Prior use of Transport / Warehousing related ERP’s, Databases and web portals (preferred)
  • Understanding of Biosecurity functionality and purpose
  • Have a Certificate in Administration or willingness to obtain one.
  • Biosecurity awareness training or willingness to obtain.  
  • Chain of responsibility training or willingness to obtain.  
  • Experience with transport operations.
  • Knowledge of biosecurity directions and requirements
