Job Title:  Administration Assistant (Permanent Part-time Onsite)

About the Role: We are seeking a highly organized and motivated Administrative Assistant to join our team. The successful candidate will play a crucial role in the efficient operation of our organisation by providing a broad range of organizational, administrative and clerical support. The ideal candidate should be detail-oriented, a strong communicator, and capable of handling multiple tasks with precision.

Responsibilities:

1.General Administrative Support:

  • Provide general administrative support to the office, including photocopying, faxing, mailing, and filing documents.
  • Assist in the creation and maintenance of filing systems, both electronic and physical.
  • Prepare and maintain documents, reports, and records.
  • Assist in the preparation and compiling of reports, Board packs, presentations & correspondence.
  • Support other staff members as needed with administrative tasks.

2. Office Organization:

  • Maintain a clean and organised office environment.
  • Order office supplies and ensure their availability.

3. Event Coordination

  • Assist in planning and coordinating company events, including meetings, conferences, roadshows and social gatherings.
  • Support event logistics such as venue selection, catering and invitations.
  • Help in the preparation of event materials and documentation.

4. Meeting Support:

  • Prepare meeting rooms, including arranging equipment and materials.
  • Take meeting minutes and distribute them to attendees. 

5. Data Entry and Record Keeping

  • Enter data into spreadsheets, databases, and other systems.
  • Assist in record-keeping and data management risks.

Qualifications & Attributes

  • A relevant qualification in Business Administration.
  • Minimum of 3 years proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other office software.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks.
  • Discretion and confidentiality in handling sensitive information.
  • Knowledge of office equipment and procedures.
  • Strong work ethic and a proactive approach to tasks.
