On the back of continued success and growth, we have a vacancy for a 2nd in Charge (2IC) Administrator available at our Rocklea (QLD) Site. Reporting to the administration manager, the purpose of this role is to provide exceptional administrative support, ensuring the smooth and efficient operation of the office and effectively assisting staff, management, and external clients. You will achieve this by performing a variety of administrative, clerical, and organisational tasks with accuracy, initiative, and discretion.
Key Responsibilities
- Manage office supplies and equipment, ensuring smooth operations.
- General administrative duties
- Coordinate travel arrangements for staff, including booking flights, hotels, and transportation.
- Assist with expense report preparation and submission.
- Answer phone calls and emails, responding to inquiries and requests promptly and professionally.
- Complete and maintain new customer and product setup within the CRM or other relevant systems.
- Process weekly invoicing and ensure timely payments.
- Assist with accounts payable and accounts receivable functions, maintaining accurate records.
- Assist in data preparation for reports and presentations, ensuring data quality and accuracy.
- Contribute to the complaint management process, ensuring efficient handling and resolution.
- Assist with various administrative projects as assigned.
- Perform other duties as assigned by the supervisor or manager.
- Provide support to Administration Manager when required
- Help plan and prioritize daily tasks to ensure agreed service levels are maintained
- Be point of contact in Administration Mangers absence
Role Requirements:
- Commitment to Strong administrative and organisational skills
- Excellent communication skills
- Proficiency in Microsoft Office Suite
- Attention to detail
- Perform other duties as assigned by the supervisor or manager.
- Previous experience in an administrative role, preferably within warehousing or logistics.
- A willingness to learn
- Ability to prioritise
- Experience with Xero is desired
