Civil Contracting Administrative and Site Support

Job Description:
As a Civil Contracting Administrative and Site Support staff member, you will be responsible for providing administrative assistance to project managers and supporting on-site construction activities. Your role will involve a variety of tasks aimed at facilitating project coordination, documentation, and communication. Key responsibilities include:
1. Administrative Support:
- Assisting project managers with the preparation of project documentation, including contracts, proposals, and reports.
- Managing project correspondence, including emails, letters, and phone calls, and ensuring timely responses.
- Organising and maintaining project files, records, and databases for easy retrieval and reference.
- Coordinating meetings, appointments, and travel arrangements for project team members.
- Processing invoices, purchase orders, and other financial documents in collaboration with the finance department.
- Assisting with the procurement of materials, equipment, and subcontractor services as needed.
- Providing general administrative support to the project team as required.
2. Site Support:
- Assisting with the setup and maintenance of project sites, including temporary facilities, equipment, and signage.
- Monitoring on-site activities to ensure compliance with safety regulations, quality standards, and project specifications.
- Coordinating deliveries, equipment rentals, and subcontractor activities to ensure efficient project execution.
- Conducting regular site inspections to identify and address potential safety hazards, environmental concerns, and quality issues.
- Assisting with the resolution of on-site issues and conflicts in collaboration with project managers and site supervisors.
- Providing logistical support for site meetings, inspections, and client visits as needed.
- Acting as a liaison between the project team, subcontractors, suppliers, and other stakeholders to facilitate effective communication and collaboration.
Qualifications:
- Previous experience in administrative support roles, preferably in the construction or civil engineering industry.
- Familiarity with construction processes, terminology, and documentation is desirable.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint), Assignar Civil software and other relevant software applications.
- Valid driver's license and willingness to travel to project sites as required.
