About the Role
We are looking for enthusiastic people to join our Service Department Administration Team.
Currently an opportunity exists for a Administrator Service Coordinator/Scheduler based from our modern Perth CBD office. This position will report to the Service Manager working Monday to Friday.
This role will commence training asap.
Key Responsibilities include:
- Proactively scheduling & dispatching breakdown and routine maintenance works;
- To participate in labour resource planning with Supervisors and Service Managers;
- Participate in meetings, both internal and external, creating actions lists and completing in a timely manner;
- Effectively plan the daily schedules for each Technician and allocate accordingly;
- Raise and allocate all service calls to Technicians;
- Assist with procurement of parts and materials as required;
- Arranging and managing travel bookings;
- Resolve scheduling issues with Technicians as they arise, escalating to Supervisor/ Service Managers as required;
- Working closely with all team members to achieve required job outcomes;
- Run daily reporting to check the status of jobs;
- Ensuring current client purchase order on all reactive works prior to attendance;
- To receive and monitor all inbound calls and determine the appropriate action to address client needs.
- Meet Customer KPI’s with the goal of proactively improving processes to ensure KPI’s are continually improved upon.
To be a part of the team, we require:
Some experience in scheduling, rostering and labour resourcing planning preferred but not essential - training will be provided.
- Experience in front-line client and technician engagement.
- Proficiency in Microsoft Office applications (Word, Excel PowerPoint etc)
- Prior experience in Pronto will be highly regarded
- Excellent written and oral communication skills
- Excellent customer service and interpersonal skills
- Strong organisational, problem-solving and time management skills
- Self-starter with the ability to work autonomously
- Ability to prioritise and triage jobs in order of risk and importance
- Passionate about problem-solving approach to teamwork
- Interest in the Technology /Security industry and an aptitude to learn new skills and systems
