The role
The Executive Assistant will be responsible for providing comprehensive support to our Managing Partners, contributing to organisational effectiveness and strategic alignment with the firm's goals. This role demands meticulous attention to detail, outstanding communication skills, and the ability to handle a wide range of administrative tasks with precision and professionalism.
Responsibilities
Efficiently manage and maintain diaries for Managing Partners, coordinating meetings, appointments, and events across multiple time zones and states.
Proactively anticipate and resolve scheduling conflicts, adjusting plans as necessary to ensure optimal productivity.
Act as the primary point of contact for internal and external communications, managing correspondence, phone calls, and emails with tact and professionalism.
Prioritise and filter communication according to importance, drafting correspondence and communications as needed.
Assist in planning, scheduling, and coordinating meetings and events, including agenda preparation and collating relevant materials.
Attend meetings as required, taking minutes and tracking action items to ensure follow-up and accountability.
Coordinate complex travel logistics, including international and domestic itineraries, accommodation, transportation, and visa requirements.
Draft, edit, and proofread documents and presentations with a high degree of accuracy and adherence to corporate standards.
Track, categorise, and reconcile expenses in accordance with company policies, ensuring accuracy in reporting.
Assist in prioritising tasks, projects, and deadlines, maintaining a keen understanding of ongoing initiatives and priorities.
Implement strategies to optimise time management and increase overall productivity.
Handle sensitive and confidential information with discretion and maintain a high level of confidentiality at all times.
