CASAIR specialises in transport and logistics solutions to a wide range of industries based at Jandakot Airport and is seeking a full-time Executive Assistant to join our magnificent team.
Role Details
This position provides high-level executive support to the CEO who holds a number of corporate and operational responsibilities within a time critical environment. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritising tasks in a fast-paced corporate environment. The Executive Assistant is responsible for the smooth operation of the office of the CEO based at Jandakot Airport.
Description
Day to day duties involve:
- First point of contact for all communications on behalf of the CEO
- Providing the CEO with an effective time managed schedule inclusive of day to day and project matters
- Management of emails, correspondence, agendas, minutes and reports
- Management and coordination of meetings with Company employees, clients and suppliers
- Make travel and accommodation arrangements including oversight of staff expenses
- Prepare agendas, take meeting minutes
- Represent the CEO at internal meetings when the CEO is otherwise engaged
- Generating internal and external correspondence, as briefed, on behalf of the CEO.
- Assisting with formatting and managing the Controlled Documents Library.
- Coordination of marketing activities including website
- Coordination of Human Resources and Recruitment process under direction from the Chief Operating Officer
- Supporting our operations team as required
Profile
The ideal candidate for this role will possess the following:
- Previous experience as a Personal Assistant and/or Executive Assistant
- Previous experience in aviation or transport & logistics (ideal, not mandatory)
- Experience in recruitment and human resources office functions
- Advanced MS 365 skills, especially Word with good typing speed
- Exceptional attentional to detail, including high levels of verbal and written skills;
- Able to work with discretion and confidentiality in matters of clients, suppliers and employees;
- Extremely organised, outcome focused and has the ability to work in a dynamic and everchanging environment
- Prior experience working with a demanding executive and improving their efficiencies based on your performance and ability to take ownership of your role
