We're searching the seas looking for our CEO’s new Executive Assistant to support our ambitious goals for 2024 and beyond!

About your new role
The Executive Assistant / Admin Officer is a member of the Office of the CEO (OCEO) team which drives the vision, strategy, and performance of all companies in the Searoad Ferries group: Searoad Ferries Queenscliff-Sorrento Ferry Service, Western Port Ferries, Explore Australia/Naturaliste Tours, and our newest addition to the family—Wanderer Adventures-Wilsons Promontory Cruises.
You'll be the supportive force that empowers the executive office to do their best work and drive culture. Providing high-quality, confidential day-to-day support to the CEO, you will serve as the central point of contact between the CEO and the Company’s internal and external stakeholders. Keeping everything running like clockwork, key responsibilities include:
- providing a professional first point of contact for all OCEO enquiries
- managing CEO correspondence, calls, meetings, diary, and travel requirements
- assisting with a range of people and culture related admin, compliance, and procedural tasks
- contributing to the development, maintenance, communication, and delivery of policies/procedures
- assisting with event management—from small internal functions including site tours, and team celebrations, to staff conferences and external Company announcements
- arranging stakeholder functions and meetings
- overseeing key admin contracts and associated supplier relationships
- ensuring secure document management practices—developing and administering Company-wide templates, documents, and file storage guidelines.
What we're looking for
This is a fantastic opportunity for someone who has an engaging personality, positive outlook, and enjoys working collaboratively. Your written and verbal communication skills will be highly developed. You'll need to be super organised and have a keen eye for detail. To be successful in gaining an interview you'll need to:
- demonstrate your previous experience supporting a chief executive or senior leader
- possess high level Microsoft 365 abilities with advanced proficiency in Word, Outlook, PowerPoint, Excel and Teams
- show us your ability to liaise on a professional level with diverse client and stakeholder groups
- be intuitive and a problem solver focused on efficiently getting stuff done
Prior experience with SharePoint would be a bonus.
