The Executive Assistant will be a key partner to the CEO and Board. The focus of the role is to provide high level administration support to the CEO and Board, as well as general day-to-day administration support, to other departments within the organisation. This is a part-time opportunity, working 4 days per week (Monday - Thursday), 6 hours per day.
Responsibilities:
- Provide executive support to the CEO including diary management (for internal and external meetings), email management, document management and general administrative support
- Support the administration of Board meetings, Board functions and set up for meetings, including taking and circulating minutes
- Maintain effective relationships with key contacts and relevant stakeholders and ensuring appropriate responses are provided and that clear and comprehensive details are taken and delivered
- Answer head office phone calls in a timely manner and direct calls appropriately
- Back-up for Rostering (1 day per week, plus other times throughout the year). All necessary training provided
- Initiate the set-up for all IT equipment and induction duties for new starters
- Maintain an up-to-date log of all IT equipment within the organisation
- Organise catering as required for training/induction days and other functions
- Provide general administration support to other departments as and when required
Requirements:
You will have strong organisational/time management skills and the ability to juggle multiple tasks. You will have the initiative to make this role your own, be assertive and proactive, friendly and build strong relationships.
- Experience supporting Senior Executive Managers and/or Board Directors
- Demonstrate effective time management, high level of initiative, enthusiasm, drive and energy
- Extensive experience in minute taking
- Advanced skills in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience in the coordination of document management systems (SharePoint)
- Experience in diary management including planning, organising and prioritising work
- Commitment to strict confidentiality and demonstrated ability to show discretion and tact
- A commitment to the values and purpose of the organisation and working in the not-for-profit sector
- Willingness to work 1 evening per month (currently Monday), to attend Board meetings for minute taking (with time off in lieu)
