We have an exciting opportunity for an experienced Legal Assistant/Secretary to join our leading Mergers & Acquisitions (M&A) team based in Sydney CBD on a full-time, permanent basis.
As a Legal Assistant, you will play a critical role in providing high level support to Partners Tony Damian, Nicole Pedler and Amelia Morgan while also having the opportunity to add value to the team.
Please note that this role requires you to be in the office four to five days per week (9:00am to 5:30pm).
Key responsibilities:
- Managing internal and external appointments with appropriate meeting lead times including travel and diary management.
- Managing complex billing and reporting requirements.
- End-to-end file management including opening and closing of files, preparing engagement letters, responding to audit comforts, ensuring conflict and trust compliance and tracking changes to fee estimates.
- Drafting correspondence to clients.
- Assisting with meeting preparation and the coordination of post meeting actions.
- Event management for group / client / sector / firm events.
- Coaching and mentoring Administrative Assistants.
To be successful in this role, you will have:
- A minimum of 5 years' experience as a Legal Assistant, Secretary or Personal Assistant within professional services.
- Proven organisational and time management skills with the ability to maintain a high level of attention to detail and organisational skills to prioritise workload and meet deadlines.
- The ability to work a minimum of four days in the office is essential.
- Strong matter management and billing experience (Aderant Expert) is advantageous.
- Ability to anticipate Partner requirements to reduce administrative time.
- Ability to adapt to a changing environment.
- Exceptional written and verbal communication skills with a demonstrated ability to build effective relationships with stakeholders.
