Job Title: Part-time Medical Receptionist

Location: Williamstown, Victoria
Salary: $38 + superannuation per hour
Schedule: 1 day per week, every Thursday starting from February 29th, with potential for more shifts but not guaranteed.
Duration: 2 months

Job Description:

• Assist with daily set-up of the clinic.
• Manage the email box, including C2C messages and e-tasks for Dr. Madhwan.
• Manage phone calls and appointment rescheduling, including C2C messages and e-tasks for Dr. Madhwan.
• Follow-up on results for appointments.
• Manage office tasks such as scanning, shredding, and post handling.
• Ensure all documents, reports, and scoring are completed for appointments.
• Handle billing and rebooking for both onsite and telehealth appointments.
• Set up telehealth appointments as applicable, including providing information, links, and obtaining consent.
• Contact patients for the day's attendance who have not responded to text reminders.
• Fill cancellation spaces in the schedule.
• Follow-up with patients who did not attend appointments: a. Follow-up required will be specified in C2C. b. This may include invoicing a "Did not attend" fee.
• Set up and score behavioral questionnaires (ASEBA) at the time of booking.
• Manage bookings for new patients, including a. Sending an information pack containing a confidentiality agreement and registration form. b. Generating a link for patients to access the clinic to cloud. c. Scheduling initial and 6-8-week follow-up appointments. d. Collecting a non-refundable booking deposit through a Tyro link. e. Booking only after receiving a referral.
• Process outgoing referrals and letters from C2C, including: a. Using secure messaging. b. Sending emails or faxes through Go-fax. c. Copying to the parent as needed.

Qualifications and Experience:

• Previous experience as a Medical Receptionist is required.
• Proficiency in using office equipment such as scanners and fax machines.
• Strong communication skills, both written and verbal.
• Excellent organizational skills and attention to detail.
• Ability to work independently and as part of a team.
