Industrial Plant and Service Australia, a service provider for rotating equipment is currently seeking an Office Administration & Sales Support person.
This role will be responsible for providing timely and accurate support to both the Sales and Operations Departments as well as keeping the office running smoothly and efficiently.
This is a permanent part time role of 25 to 30 hours per week, with view to go full time if desired after a 6 month probation period.
Essential Skills/Knowledge:
- Excellent computer skills and knowledge
- Navigate various different cloud software and client platforms easily and independently.
- Proficient in MS Office (Intermediate to Advanced level)
- Understand key fundamentals of accounts payable and receivable
- Display effective verbal and written communication skills
- Possess excellent attention to detail and organisation skills
- Experience with SAP is preferred but not essential
- Ability to prioritise and follow up in a timely manner
- Flexible and adaptable to ad hoc duties
- Work well under pressure
- Ability to work co-operatively with a wide variety of people
- Current First Aid Certificate is also desired
Key Duties:
- Directing main phone calls (switch)
- Collection and distribution of mail
- Greeting visitors at front desk
- Timesheet Management - collection, approval, data entry and filing process
- Assistant to payroll tasks
- Service Order Acknowledgement
- Setting up jobs in SAP
- Raising service related Purchase orders and Invoices
- Corporate Travel arrangements, booking flights, accommodations, rental cars
- Shipping/freight
- Social planning, team BBQ’s, Conference lunches etc
- Office management, order office equipment and stationary, plus up-keep of kitchen and toiletries
- Undertake other various tasks, eg: find suppliers, order PPE
- Running errands as required
- Support to Sales and Operations department
- Backup to Spares and Service Support functions
- Assistant to Management when required
- Provide Management with support required on IPS International Entities
- Other ad-hoc tasks as required
Due to the nature of our business, we have many staff that work remotely and or travel, however this role will require you to be in the office Monday to Friday for 5 to 6 hours per day.
The successful candidate will be available to start asap, have a proven background in administration, is flexible and adaptable and has a sound work ethic.
