Barwon Coast Committee of Management is delegated to manage 19km of the coast along Victoria’s Bellarine Peninsula. This includes the beaches and foreshores of Ocean Grove, Barwon Heads, 13th Beach, and Breamlea. Within this jurisdiction Barwon Coast operate Barwon Heads Caravan Park, Riverview Family Caravan Park, Breamlea Caravan Park and Riverside Campground which provides the revenue stream to conduct its operations. We are seeking an Office Administrator to manage the Barwon Coast office and provide administration support to the Senior Leadership team and CEO.

The Role:
This position plays a pivot role managing the Barwon Coast office and providing administrative support to the CEO and leadership team. You are the first person with whom the public interact with, either via phone, email or in person.
The Office Administrator is responsible for completing a range of administrative tasks which include:
- Respond to general Barwon Coast enquiries via mail, email and phone
- Arrange and facilitate appointments and meetings for the CEO; including preparation of documents, coordination of meetings and minute taking;
- Secretary to Barwon Coast Committee of Management, including the coordination of meetings, papers and minutes where appropriate. Assist with Subcommittee meeting coordination, minute taking and other tasks as directed,
- Coordinate and administrate the consents for events and licences on Barwon Coast managed Crown land, including, all adhoc events, tour operators, food vendors, Surfing Carnivals, filming requests and the coordination of weddings;
- Maintain and facilitate enhancement of administration systems, including Board Pro, SharePoint, filing and archiving of records
- Support members of the Leadership team with administrative duties, as required.
- Adhoc small/medium stand-alone projects as directed by the CEO
About You
To be successful in this role you will have experience in office administration, have excellent computer skills and be skilled in taking accurate minutes. You will be able to demonstrate your ability to manage your time effectively, maintain confidentiality, be organised and set priorities to ensure the office functions well. A commitment and proven ability to provide a high level of customer service is essential.
Qualifications and Experience
- A certificate III in Business Administration will be an advantage but not essential.
- Previous experience working in a busy administration office.
- Experience supporting an executive team.
- Experience in taking minutes at executive meetings, coordinating meetings and small events and collating meeting papers.
