Job description

The Office Manager is responsible for overseeing and coordinating the daily operations of the office, ensuring efficiency and effectiveness in administrative processes. This role requires a combination of organisational, leadership, and communication skills to support the smooth functioning of the DTMF Groups offices.

In the capacity of the Office Manager, your role will entail supervising the operational procedures associated with the client lifecycle, with direct reporting responsibilities to our Operations Managers and clients. We are in search of an individual with a background in administration/ operations, possessing outstanding organisational skills, and exhibiting a proactive and enthusiastic approach.
In our team, successful leadership relies on skilfully managing both individuals and operational processes. This involves overseeing and optimising both the human and operational dimensions, all directed towards achieving organizational goals. Your role plays a crucial part in guaranteeing a seamless integration of these elements, contributing significantly to the overall success of our team. You will collaborate closely with the management team and directors to steer the business towards success.

  • Previous experience in an administration /operations role is essential
  • Effectively handle multiple tasks and work calmly under pressure through organisation, prioritisation and multi-tasking 
  • Excellent team player and collaborator 
  • Demonstrated self-motivation and excellent initiative 
  • Proactive and enthusiastic to learn attitude 
  • Excellent communicator (both written and verbal)
  • Genuinely thrives and enjoys working in a busy, fast-paced, diverse role
  • Advanced skills in Microsoft excel, Outlook and Word. We work with several systems, you do need to be extremely adapt to learning new technology 
  • High attention to detail is crucial in this role 
  • Solution focused, can think on your feet quickly

Role & Responsibilities 

Mailbox and Client Communication:

  • Manage shared mailboxes, ensuring timely and effective communication.
  • Act as the initial point of contact for clients, addressing inquiries and concerns.

Data Entry and Documentation:

  • Perform data entry tasks and update documentation across multiple systems such as Monday, OLC, MYOB, Safety Culture, and other relevant platforms.
  • Ensure accuracy and completeness of information.

Client Relationship Management:

  • Build and nurture relationships with clients by proficiently executing established procedures.
  • Work towards meeting client deadlines and ensuring a positive client experience.

Process Development and Maintenance:

  • Develop and maintain company processes and manuals to ensure consistency and efficiency.
  • Implement improvements as needed to enhance overall workflow.

Staff Onboarding and Offboarding:

  • Oversee the onboarding and offboarding processes for cleaning staff.
  • Ensure a smooth transition for new hires and proper closure for departing staff.

Reporting and Month-End Processes:

  • Prepare monthly client reports, presenting key metrics and insights.
  • Collaborate with the Operations support team to complete end-of-month processes.

Workflow Coordination:

  • Coordinate workflows for both staff and suppliers to optimise operational efficiency.
  • Ensure seamless collaboration between different departments and external partners.

Approval Processes:

  • Approve job schedules, payroll variations, and leave requests in accordance with established policies.
  • Maintain accurate records and documentation related to approvals.

Client Lifecycle Processing:

  • Assist with processing tasks within the client lifecycle, ensuring adherence to established protocols.
  • Contribute to the continuous improvement of client-related processes.
