Based in Springvale, Air Everywhere Victoria predominantly service Commercial and Residential Sectors throughout the greater Melbourne region, though our network extends Victoria-wide and beyond. Due to our high quality of clientele, we require someone who can confidently follow and implement processes and procedures, whether that be client-facing or behind the scenes.
At Air Everywhere Victoria you will work amongst an energetic team of ambitious, hard-working and well-trained refrigeration mechanics, electricians and administrators of varying experience levels, and an ability to fit in with this efficient but friendly culture (and contribute to it) is required.

ABOUT THE ROLE
We are seeking a well-organised and experienced team player to take ownership of the Service Coordinator role. This is the central point for all of our business operations in our growing Service & Maintenance Division and integral to our continued success.
Working closely with our experienced Service Manager (who has a plethora of technical and site experience), you will be responsible for the following within our Service & Maintenance division:
- General customer service – handling customer enquiries, keeping these customers well informed, building relationships etc.
- Scheduling our team of tradespeople to jobs and overseeing daily job completion through our task dashboard on Aroflo.
- Generating reports and invoices to our customers upon job completion
- Accurate data entry and corrections daily through Aroflo
- Occasionally assisting to order job materials for projects
- Perform other ad-hoc administration duties as requested by Management
This is a permanent full-time position which is currently office-based, although there is some upfront flexibility on the contact hours.

You are able to manage a multitude of micro tasks daily but still keep your mind on the bigger picture – reprioritising as you go.
You are focused on solutions and able to confidently make recommendations on how to solve issues if you ever have to escalate something higher up the chain. If difficult conversations need to be had (whether with clients, staff or management), you are able to do so diplomatically and confidently.
Skill/experience requirements:
- Minimum 2 years working in a comparable customer service-based role - you are comfortable representing a company and ensuring client satisfaction
- Must have advanced computer skills and be proficient in MS Office (Excel, Word, Outlook)
- Excellent organisational and time management skills and proven ability to effectively prioritise workloads
- Exceptional attention to detail in communication
- Proven ability to work collaboratively in a team environment
- Able to exercise good judgement, solve problems, show initiative and be proactive
- Excellent verbal and written communication and presentation skills – a friendly, efficient and professional manner
Highly regarded:
- Experience using AroFlo
- Experience in a trade business (refrigeration would be very highly regarded)
