About the role:

Due to internal reorganisation, we’re seeking a Fleet and Office Administrator to support the wider team. This is a varied role administering our large fleet of road vehicles as well as providing general office support including reception duties to the Corporate Administrative Team.

You’re self-motivated, resourceful, proactive, a reliable team player and bring a ‘can do’ hands on approach.  You’re enthusiastic about supporting and assisting other team members to achieve optimal outcomes.

You enjoy contributing and collaborating, demonstrate initiative and attention to detail, have the confidence to complete multiple high priority tasks efficiently, can work independently with confidence and are comfortable making decisions.

You’re able to effectively communicate with people at all levels and have the ability and flexibility to adapt to different approaches and work styles. Prior experience in an administrative role especially in fleet management, along with a positive and eager attitude, will see you hit the ground running. 

Essential Job Functions, Duties and Responsibilities  

The role encompasses many different tasks and responsibilities, which include (but not limited to):

  • Administrative support & professional communication with internal staff, clients and other stakeholders as required.  This encompasses a wide range of office logistics and organisational tasks, which can vary daily.
  • Entering and maintaining vehicle details in a variety of systems.
  • Monitoring and updating vehicle custodian records.
  • Arranging for, and maintaining records to related services including Registrations, Fuel Cards, Etags etc.
  • Co-ordinating nominations for traffic infringements.
  • Generating relevant reporting such as FBT and other expense reports.
  • Checking and verifying supplier invoices for accuracy against records.
  • Responding and progressing incoming calls in a timely manner, greeting and assisting office visitors as required.
  • Assist with Scheduling of meetings & overseeing boardroom meeting preparation and management.
  • Assist with Travel planning & expenses - ensuring seamless domestic and international travel arrangements for staff, including flights, accommodation, cars, visas, hospitality, and venues in a timely and cost-effective manner, adhering to the Company Travel Policy.  
  • Collection, sorting & distribution of mail.

The successful candidate will ideally possess and be able to demonstrate the following;

  • A welcoming, positive, easy-going attitude, the ability to work closely with team members and be a team player – ready to assist others and share the workload.
  • Excellent attention to detail and time management skills along with the ability to multi-task and prioritise work in a fast paced and diverse organisation.
  • Excellent Microsoft Office skills particularly Excel and experience using an ERP.
  • Strong written and verbal communication and numeracy skills.
  • Highly professional and committed approach.
  • Ability to adapt to changes in the work environment and work well under pressure.
  • Demonstrated experience and understanding of fleet management practices is highly advantageous.
