The Administration Assistant is responsible for providing outstanding administration support to the team. They are contributors of ensuring the efficient and smooth day to day operations of the office. This position located at our Wedgefield Facility, has great opportunities for growth in a busy and dynamic team. This is a Port Hedland residential role only. Unfortunately, FIFO is not available.
This position is/includes:

Key Responsibilities for this role include:
Reception – The Administration Assistant is responsible for answering any incoming phone calls, providing general support to visitors, contractors and staff, passing on memorandums or messages and maintaining a clean, welcoming reception desk.
Filing and maintaining staff files – Responsible for general filing duties, and maintaining staff files, and archiving when necessary.
Meetings – being present in any meetings requested and taking efficient, clear minutes. Relaying any important information during toolbox meetings to other administrators. Sending minutes to employees absent via email and printing minutes to be displayed in crib room.
Correspondence – checking emails for the Port Hedland division, and action when required. Forwarding to correct recipients, printing invoices and processing remittances. Produce any reports as requested. Contact any suppliers for invoicing/cash sale follow ups as required.
Invoicing – Printing off all invoices received and actioning.
Mail – Responsible for collecting and processing all mail that comes through, unless confidential. Required to deliver mail to respective staff member. Posting any outgoing mail daily.
Housekeeping and Supplies – maintaining a clean, welcoming office environment in the front office, tidying where necessary or notifying cleaners of any issues.
Registers – checking the incident and safety registers on a fortnightly basis and advising of relevant managers if follow up is required. Ensure all paperwork is filed under correct incident numbers. Maintain training matrix licences and check monthly for expired tickets/licences.
Human Resources/Payroll – Check the HR calendar regularly, create employee numbers using ITMS, inform Senior Admin of any new staff or staff that have resigned for payroll purposes. Tend to any leave applications, update ITMS, HR Calendar and email approval if required.
Other duties – The Administration Assistant will complete any other duties required, if approved by the Administration Manager.
About you:
- You should possess 2-5 years’ experience in an administrative role.
- You should have intermediate or above computer literacy skills.
- You should have intermediate or higher MS, Excel, Outlook, Word skills.
