Raymond Plumbing is a maintenance plumbing business located in Manoora and our aim is to provide a premium level of service to our clients. We operate as a process-based business with a strong focus on training and development of our staff.
We are seeking an Administration Assistant to join our team. The successful candidate will have a confident and responsible disposition, professional telephone manner and be computer literate in Microsoft Word, Excel and Outlook. The ability to work quickly and accurately is essential.
Your role
As the Administration Assistant you are the first point of contact for clients both over the phone and in person. Your warm, friendly, and approachable nature will ensure you are always able to provide support where needed.
Job tasks and responsibilities
This is a varied role, and you will be responsible for, but not limited to:
- Monitoring and the management of the business email account.
- Responding to phone calls and voicemails.
- Registering incoming jobs.
- Scheduling and the coordination of jobs.
- Liaising with management, plumbers, suppliers and clients by phone and email.
- Updating and maintaining client records.
- Receiving and allocating job parts and stock.
- Maintaining stock levels and organisation.
- Accounts data entry.
- Invoicing.
- Bank Reconciliations.
- Maintaining report data entry.
- Providing administrative support to our office staff.
- Assisting with other administrative tasks as and when required.
Essential Skills and experience
- Must be punctual and reliable.
- Have the confidence and people skills to act as the first point of contact for our clients, suppliers and plumbers.
- Have a high attention to detail.
- Be able to plan ahead but remain adaptable and be able to respond quickly to change.
- Competent using Outlook, Word and Excel.
- Ability to learn new software programmes (we use Simpro for our job management and Xero for our accounting).
- Ability to follow procedures.
- Maintaining confidentiality.
