Job description

We are seeking a highly organized and team-oriented individual with exceptional attention to detail to join our team as an Administrative Assistant for our Pakenham Dealership. This role will primarily focus on managing administrative functions to ensure smooth operations, efficient processes, and compliance within the organization. Key responsibilities include database management, purchase and sales order processing, complaint resolution, scheduling of handovers and service, registration management, invoicing, and customer deliveries.

Key Responsibilities:

  • Database Management:
  • Maintain and update databases accurately and efficiently.
  • Ensure data integrity and security protocols are adhered to.
  • Purchase and Sales Orders: 

Generate purchase and sales orders in a timely manner.

  • Coordinate with relevant departments to ensure orders are processed accurately.
  • Complaint Resolution: Address and resolve all customer complaints and inquiries promptly and effectively.
  • Ensure customer satisfaction through efficient problem-solving and communication.
  • Scheduling Handovers, Repairs, and Service:

Coordinate schedules for vehicle handovers, repairs, and service appointments.

  • Communicate schedules effectively with internal teams and customers.
  • Registration Management:Facilitate the registration process for new and used vehicles.
  • Handle registration renewals and transfers efficiently.
  • Invoicing:Prepare and issue invoices accurately and promptly.
  • Ensure invoicing procedures are followed and payments are received on time.
  • Customer Deliveries: Coordinate customer deliveries in collaboration with the sales and logistics teams.

Skills and Experience:

  • Moderate to high computer skills with proficiency in data entry.
  • Strong customer service orientation.
  • Previous experience in automotive dealership administration preferred (RV and Caravan industry experience highly regarded).
  • Effective time management and organizational skills.
  • Excellent verbal and written communication abilities.
  • Ability to work independently while also contributing effectively to a team environment.
