How will I help?
The Westpac Group Events team delivers client facing and internal events both nationally and offshore. Reporting to the Head of Event Marketing, this role will play a key role in providing first class event marketing solutions to the Westpac Group.
The Event Coordinator role is responsible for assisting in the management of the events portfolio within Westpac including:
- Provide event support and administrative assistance to all members of the Events team.
- Update and maintain the accuracy of master event calendars on a timely basis.
- Schedule fortnightly Events team meetings and develop agendas for each.
- Manage the accurate processing of all invoices.
- Assist Event Managers/Specialists with the printing, production and collation of event collateral.
- Assist Event Managers/Specialists with packing and unpacking of event toolboxes and collateral for each event.
- Assist members of the team with event budget reconciliations, pCard reconciliations, event reporting, travel bookings and other event support where required.
- Conduct research into venues, speakers, AV, entertainment, theming and merchandise where required.
- Develop and maintain effective supplier relationships on behalf of the Events team.
- Monitor the Event team email inbox.
- Consistently re-evaluate working practices in terms of efficiency, innovation and cost cutting procedures and seek out and implement new practices where required.
Please note some travel may be required in this role and from time to time, you may need to attend events over the weekend or in the evenings. Your flexibility will be required.

What do I need?
- 2 years previous events coordination experience within a corporate environment.
- The ideal candidate will bring an understanding of digital technology in the events space, including webcasting, streaming, podcasts, interactive voting, webinars and social media.
- An understanding of e-marketing and event management systems (particularly Aventri) would be highly regarded but not essential.
- Strong organisational, time management and multi-tasking skills.
- Exceptional attention to detail.
- Experience in managing administrative processes and procedures and events management experience will be highly regarded.
- You will have advanced level Microsoft Outlook, OneNote, Teams, Planner, Excel, Word and PowerPoint skills.
