Position Responsibilities
- Providing quality and timely administrative support to the executive and advisory project team in Rockhampton.
- Act as the primary point of contact between the executive team, advisory team, clients, subcontractors, and internal team members, demonstrating professionalism and exceptional communications skills.
- Run a process of accountability and communication for team members and sub-contractors to delivery timeframes. Allocating, tracking and managing tasks within set timeframes.
- Conduct research, gather data and compile reports as required by the executive team.
- Managing agendas, minutes and actions registers ensuring task tracking, completion, and reporting.
- Researching and managing a range of projects to deliver within agreed timeframes.
- Provide financial management support as required with invoicing, bills, reporting, and reconciling.
- Maintain systems such as CRM and database systems and ensure integrity of data.
- Prepare and distribute presentations (including powerpoint), reports, and other correspondence on behalf of the executive or advisory team.
- Maintain relationships, identify opportunities, and organise meetings as required.
- Prepare call and meeting briefings in order to summarise and prepare the executive or advisory team.
- Prepare meeting agendas, minutes, and action items.
- Approach current and potential client contacts and arrange meetings for the executive team, advisory team or sales staff.
- Convert written & verbal notes into file notes and maintain contact database with relevant notes.
- Handle confidential information with discretion and maintain a high level of professionalism and integrity.
- Communicate regularly with clients, team members and subcontractors to seek feedback and suggest improvements.
- Streamline administrative processes, implement systems for efficiency and suggest improvements as required.
- Collaborate with other team members to ensure seamless operations across the organisation and clients.
- Manage any reasonable additional ad-hoc duties as requested.

Skills and Experience
- Demonstrated experience working in similar role with c-suite executives or entrepreneurs.
- Bachelor’s degree in business administration or an equivalent, relevant qualification.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with advanced skills in formatting, data analysis, and report preparation.
