The Role: Executive Assistant

Position Overview:
As an Executive Assistant, you will play a crucial role in supporting our executive team and ensuring the smooth operation of daily tasks and activities. Reporting to our groups Directors, you will be responsible for providing high-level administrative support, managing schedules, coordinating meetings, and handling various other tasks to facilitate the efficient functioning of the executive office.
Key Responsibilities:
- Calendar Management: Coordinate and manage complex schedules, including arranging appointments, meetings, and travel arrangements for executives.
- Communication: Serve as a primary point of contact between executives and internal/external stakeholders, managing emails, calls, and correspondence with professionalism and discretion.
- Documentation and Reporting: Prepare and distribute documents, reports, and presentations for meetings and presentations, ensuring accuracy and timeliness.
- Project Coordination: Assist in the planning, execution, and follow-up of special projects and initiatives, collaborating with team members across departments as needed.
- Office Management: Oversee office operations, including ordering supplies, maintaining records, and handling administrative tasks to ensure a well-organized and efficient workplace.
- Confidentiality: Handle sensitive information with utmost confidentiality and discretion, maintaining trust and professionalism at all times.
- Problem Solving: Anticipate potential issues and proactively address them, demonstrating resourcefulness and adaptability in resolving challenges.
Requirements:
- Proven experience reporting to Directors as an Executive Assistant or similar role, preferably within the resource and construction sector.
- Exceptional organisational and multitasking skills, with the ability to prioritize and manage time effectively.
Strong communication skills, both written and verbal, with the ability to interact confidently with individuals at all levels. - Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to work independently and collaboratively in a fast-paced environment.
- High degree of professionalism, integrity, and confidentiality.
