Job description

We are seeking an experienced and detail focused Legal Secretary (Legal Assistant) to join our leading Commercial Litigation team based in Melbourne.

This position plays a critical role in providing high level support to Partners James Allsop and Chad Catterwell and three Senior Associates who form our Asia Arbitration Hub.

Key responsibilities:

You day-to-day will involve however not be limited to:

  • Managing the billing process for your direct team including clients with specific billing requirements.

  • Liaising with Herbert Smith Freehills offices across Asia.

  • Managing Partners internal and external appointments with appropriate meeting lead times including travel and diary management.

  • Assisting with meeting preparation and the coordination of post meeting actions.

  • Coaching and mentoring team Administrative Assistants.

  • Coordinating and managing a broad variety of responsibilities and deliverables.

Skills & experience:

You will need a passion for working collaboratively within a team, a proactive approach to delivering your work and strong attention to detail. You will also have:

  • A minimum of 2 years' experience as a Legal Assistant or Secretary.

  • Strong matter management and billing experience (Aderant Expert) is essential.

  • Previous experience working across the Asia-Pacific region is advantageous.

  • Ability to anticipate Partner requirements to reduce administrative time.

  • Strong time management and organisational skills.

  • Excellent interpersonal skills.

  • Good written and verbal communication skills with a demonstrated ability to build effective relationships with stakeholders.
