Our client, a highly reputable and renowned mid-tier family law firm in Melbourne’s CBD, is searching for a rare and polished gem to join this high-performance Partnership and Administrative Team as their daily anchor across a fast-paced, profiled family law practice.

They aim to achieve the best possible outcomes by providing specialist and tailored advice relating to all areas of family law including custody access, divorce, separation, property settlements, financial agreements, maintenance and child support. They advise in complex and cross border family law matters such as child abduction and international property disputes and across all aspects of fertility law including adoption, surrogacy and donor agreements.

The role has dual reporting lines to two highly experienced Partners, with a dotted line to the Office Manager. The position requires a person of integrity and positivity who enjoys the juggle of multiple tasks in a fast paced environment. The role works as part of a close knit, highly professional and cohesive team where nothing is too much trouble, operating with a ‘let’s divide and conquer’ attitude across workflows and busy administrative portfolios.
A full-time position, this is an opportunity for an engaging and experienced Personal Assistant / Legal Secretary to assist two Partners and their team of several lawyers of varying degrees of experience, together with providing back up support to the broader administrative and support team where required. The partners and the lawyers require a broad range of secretarial and support duties including but not limited to:
- Client liaison
- Meeting and greeting clients in person and online; handling client queries
- Drafting and preparation of introductory paperwork
- Partner support – anticipating needs, juggling priorities, being their morale and all hands on deck support:
- Diary management
- Correspondence – typing, filing, managing, drafting letters and emails
- Client support – client file management
- Digital dictation
- Financial diligence
- Billing – drafting, preparation and issuing of client bills
- Debtor management
- Matter engagement and conduct
- Collation of documents and briefs for Court and briefing Barristers / Counsel
- Creation of new matter files, closing and archiving client files
- General matter support
- General secretarial and administrative duties
- Team meetings
- Answering phones
- General tasks including filing and photocopying
- Archiving
The successful candidate will ideally have experience in family law or a similar area of law is highly desirable. Exceptional time management and organisational skills with the ability to juggle priorities while remaining calm and clear headed. You are known as ‘the anchor’ for your colleagues and operate with deep confidentiality, professionalism and sensitivity at your core.
You are committed, loyal, engaging, good fun and positive with a balanced, calm under pressure and resilient character. You are known for your happy and collaborative disposition, operating with good intent and grace for others. A strong communicator (written and oral) and a team player through and through, you are also well experienced in using the Office suite (MS Word, PowerPoint, Excel)
