We are looking for an Office Administrator to join our team out of our office in Melbourne, Australia.
Position Responsibilities
- Answers and fields incoming phone calls, emails, and posts.
- Welcomes all visitors/guests at the reception.
- Monitor office and equipment supplies, and order replenishments.
- Helps to ensure that all office facilities such as the kitchen, break-out areas, and conference rooms, are maintained.
- Creates and maintains databases, filing systems, logs, and reports necessary for the company or department.
- Assists in writing contracts and invoices, providing necessary backup documentation, accurately.
- Plans and participates in project meetings, takes protocol, and documents action lists.
- Follows up with subcontractors regarding the release of liens, invoicing, and final billing.
- Updates customers on the status of projects via telephone, email, or postal mail.
- Follows up with subcontractor to ensure satisfaction.

- Vocational apprenticeship in business, administration or similar.
- Possess relevant working experience in an office and/or project administrative role.
- Proficient in Microsoft Office Suite.
- Able to manage multiple tasks efficiently, highly organised, with strong attention to detail.
