The Company's flagship product is called eCase. It is an end-to-end, enterprise-wide resident management software solution, which manages all aspects of resident management including clinical (point of care), client management, medication management, billing and reporting. It is an exciting time of change for the business. We have got a newly appointed Executive Leadership team, including new CEO Paul Brindle and big plans for growth. We are offering this as a part time role, where you will be required to be in the office 5 days a week (we are based in Heatherton). Hours on these days will be from 9-3pm with flexibility where required. Job Description What you’ll be doing As Office Manager and EA to our CEO you'll perform the following duties Office Management Handling of incoming calls and directing them where necessary and taking messages Collection and distribution of mail Ordering and maintaining stock of office supplies Point of contact for all office vendors and suppliers Maintain and arrange necessary office and equipment repairs Petty cash management Assist in the set-up of new clients Handling of online queries Maintaining up to date records for clientele Data entry and communications of client work orders Assist in the coordination of internal staff events and celebrations Greeting visitors Maintaining safety and hygiene standards of office kitchens and meeting rooms Managing meeting room availability Handling of printing, scanning and photocopying Bank and postal errands as required Organisation of the office layout and ordering of all IT equipment and furniture Address employees' queries regarding office management issues Ad-hoc duties as required Organisation of coffee and catering for executive meetings Assist with travel bookings Diary management of CEO with internal executive team Creating and formatting of presentations, documents and company letters Assist in the organisation of executive team events such as workshops Help to monitor CEO expenses Sending out of company-wide emails on behalf of the CEO Ad-hoc duties as required Adhoc Assist Chief People Officer when required with varied HR Administration task What you’ll be working on In the role you'll work across a variety of tasks, ensuring the smooth running and operation of the office daily.
