The Wide Bay Women’s Health Centre Inc (WBWHC) is a not-for-profit organisation offering services for women and young women from 12 years of age in the Hervey Bay and Maryborough region. The service supports women by offering counselling, information, workshops, and referrals to other services as well as therapeutic groups and information sessions in relation to women's health and wellbeing.
The Reception/Admin Support is an integral part of the service provision team at WBWHC as the position is required to perform reception and office and admin support within the guidelines of the organisation’s policies and procedures, strategic and operational plans. The position will provide support to the Manager and other staff.
Duties and Responsibilities
- first point of contact in reception and on telephone
- updating appointment calendars where required and contacting clients confirming appointments
- maintain waiting lists for workshops and information sessions
- develop, copy and distribute bi-monthly newsletter
- assist Manager with Annual Report for Annual General Meeting
- assist Manager with requirements for HSQS Audit
- preparation of flyers for events and other resource materials
- maintain social media is updated with flyers and current information
- participating in women’s health activities if required
- work in consultation with other staff in the use of Centre resources
- any other duties at the direction of the Manager consistent within the role
- Financial responsibilities
- process and record petty cash transactions
- receipt memberships and donations, banking
- general understanding of accounting systems e.g., MYOB and payroll
- monitor and purchase stock, stationery and consumables for the centre
Position Requirements
- Minimum of 5 years’ experience working in an administrative position and experience in a not-for-profit, community-based service would be desirable.
- Certificate III in office administration and/or equivalent work experience and professional development.
- Excellent communication skills working with a wide range of people.
- Demonstrated experience of working in and providing support to a small team.
- Good time management, attention to detail and self-organisational skills.
- Ability to work autonomously managing own workload without guidance.
- Identify with and ability to work within a feminist framework.
Key Selection Criteria
SC1 Possession of Certificate III in Office Admin and/or extensive experience relevant to the duties of the position.
SC2 Demonstrated ability to effectively work within a community-based service from a feminist and social justice perspective.
SC3 A high level of computer literacy skills and experience working with Microsoft Office in particular Outlook, Access, Publisher, Word and Excel.
SC4 Well developed interpersonal, written, organisational and specific skills required for a first point of contact position working in a Women’s Health and Wellbeing Centre, especially undertaking reception duties.
SC5 It is an essential requirement to hold a current Working with Children Blue Card prior to commencement of employment and it would be desirable if a current open driver’s licence is held.
