**Position Summary**:
We are currently seeking a highly organized and proactive Administrative assistant & Account to join our team. This role will play a crucial part in ensuring the smooth operation of our office and supporting our staff in various administrative tasks. The successful candidate will have excellent communication skills, attention to detail, and the ability to multitask effectively.
**Key responsibilities include (but are not limited to)**:
-General clerical/administrative duties
-Manage phone calls, clients and underwriters visit
-Handling incoming and outgoing correspondence, including sorting mail and drafting correspondence.
-Maintaining accurate records and databases, and ensuring data integrity.
-Assisting with travel arrangements and expense reporting for staff members.
-Collaborating with team members to coordinate administrative tasks and projects as needed.
-Financial Management and Reporting: Assists in overseeing and managing all financial accounting activities, including ledger maintenance, financial reporting, and cash flow analysis.
-Prepare accurate monthly, quarterly, and annual financial statements.
-Payroll and BAS Management: Ensure timely and accurate payroll processing, including approvals and compliance with tax and employment laws. Manage and lodge Business -Activity Statements in compliance with ATO guidelines.
-Xero Software Management: Utilize Xero accounting software for financial management, including setting up workflows, generating reports, and ensuring data accuracy.
-Analyze financial data to identify trends, opportunities, and areas of improvement.
-Compliance and Audit: Ensure compliance with statutory law and financial regulations. -Coordinate with external auditors and provide necessary documentation for annual audits.
-Communication: Regularly report administrative and financial status and insights to managers and provide recommendations for corporate optimization and growth strategies.
**Qualifications**:
- Bachelor's degree in business, accounting, finance or related field.
-Previous experience in an administrative role is preferred.
-Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
-Knowledge and ability to use Xero or other accounting software
-Strong organizational and time management skills.
-Excellent communication skills, both verbal and written.
-Ability to work independently and collaboratively in a fast-paced environment.
-Attention to detail and accuracy in completing tasks.
-Australian residency or valid work permit.
