Eden Ritchie is seeking an Executive Assistant who will be part of the Executive Support Team that provides Administration support to the Deputy Director General in the Department.

As the Executive Assistant, your key responsibilities will include:
- Provide high level, confidential secretarial and support functions, including diary management, to the Deputy Director-General.
- Maintain the highest level of confidentiality while monitoring the emails of the Deputy Director-General. This includes ensuring urgent requests are progressed as a priority, items requiring on forwarding are distributed appropriately, and emails are responded to in a timely manner.
- Organise meetings with staff at all levels within the Department, with other public sector agencies, as well as with external organisations and stakeholders.
- Prepare meeting packs for the Deputy Director-General, including liaising with relevant staff and stakeholders to ensure supporting papers are available for meetings.
- Progress the flow of documentation (including correspondence) through the Deputy Director-General and Office of Deputy Director-General, including following up on outstanding items.
- Coordinate travel and accommodation arrangements for the Deputy Director-General.
- Coordinate purchasing requirements using a corporate as required.
- Reconcile the corporate card of the Deputy Director-General using ProMaster
- Prepare travel claims on behalf of the Deputy Director-General using Fraedom
- Assist when required the Executive Correspondence Officer regard to the preparation of correspondence.
- Assist the Executive Manager and Senior Project Officer with administrative work as required and provide high quality advice to staff at all levels on procedures and administrative standards.

- Support a positive culture within the office utilising strong interpersonal communication to enable the delivery of effective and timely executive support.
- Work flexibly across the business group and provide assistance with other duties as directed and required.
Highly desirable to this role are:
- Experience in the following software packaged:
- MECS
- ProMaster
- Fraedom
Mandatory requirements to this role are:
- High level of Microsoft office use.
- EA experience
